This is a plain-English explanation of what Safehub HQ does with your information. If anything here is unclear, please contact us and we will explain it directly.

1. Who we are

Safehub HQ is an independent product that helps Health, Safety and Environment (HSE) professionals turn raw incident notes into a structured first-draft investigation report. The product is operated by the Safehub HQ team.

2. What information we collect

When you use Safehub HQ, we collect:

• Your email address. We ask for this before generating your first draft so we can enforce the free-use limit and contact you if you opt in.
• The incident details you enter. The text you type into the “What happened” field, the incident types you select, and any files you upload (photos, PDFs, Word, or Excel documents).
• Basic technical data. Your IP address (to enforce the daily limit) and standard server logs.
• Feedback you send us through the feedback button in the report screen.

3. How we use it

• To generate your draft report. The incident text and any uploaded files are sent to Anthropic’s Claude API, which is the AI model that produces the draft. The draft is then shown back to you in your browser.
• To enforce usage limits. We track how many investigations have been run from a given email and IP address so we can offer one free draft per person.
• To improve the product. We may review feedback you submit and aggregate usage patterns (e.g. number of investigations per week).
• To contact you — only if you ticked the marketing opt-in box, and only with occasional product updates. You can unsubscribe at any time.

4. About the AI processing

The AI model is Claude, provided by Anthropic. Anthropic’s API has the following data policy that applies to your input:

• Your input is not used to train Anthropic’s models.
• Anthropic retains your input for up to 30 days for trust and safety review, then deletes it.
• Anthropic’s API policy is different from the policy for the consumer Claude.ai chat product.

5. Where the data lives

Safehub HQ runs on Vercel for hosting and uses Upstash Redis for storing the small pieces of data needed to enforce usage limits (your email, your IP, your draft reference IDs, and feedback). We do not store the contents of your incident draft after your browser tab is closed.

6. Who we share it with

We share data only with the third parties needed to run the product:

• Anthropic (AI processing of your incident description and uploaded files).
• Vercel (web hosting).
• Upstash (database for usage limits and feedback).

We do not sell your data. We do not share it with advertisers. We do not share it with your employer.

7. Your rights

Depending on where you live, you may have legal rights including:

• The right to know what information we hold about you.
• The right to ask us to delete it.
• The right to ask us to correct it.
• The right to withdraw consent for marketing emails (just unsubscribe).

To exercise any of these rights, email us via the feedback form and we will respond within 30 days.

8. Cookies

Safehub HQ does not use advertising cookies or third-party trackers. We may use minimal first-party cookies necessary for the site to function.

9. Children

Safehub HQ is intended for HSE professionals. It is not directed to anyone under 16, and we do not knowingly collect data from anyone under 16.

10. Changes to this policy

If we change this policy, we will update the “Last updated” date at the top of this page. Material changes will be flagged on the homepage.
